- PROJECT ASSISTANT (12 MONTHS): STRATEGY, PROJECTS AND TRANSFORMATION (S1)
Duties
- The Project Assistant reports to the Project Lead for the Instant Payment Solution within the Strategy, Project, and Transformation Department
- The objective of the Project Assistant is to assist the Project Lead with the day-to-day operational aspects of the Instant Payment Project, which is a great opportunity to work on a novel project for the Bank
- Collaborate with all project stakeholders (e.g. Steering Committee, Project Manager, Management Committee, Industry etc.) to research and draft key policy documents required for approval and/or endorsement
- These documents may include plans, risk assessments, scenario assessments, marketing and adoption strategies, and technical specifications and rules
- Assist the Project Lead in running the day-to-day administrative operations of the project, ensuring a well-organized and efficient work environment
- This includes managing office supplies, equipment, and facilities to support the project
- Maintain and organise project-related documents, correspondence, and records
- Ensure that all documentation is accurate, up-to-date, and easily accessible to the team
- This may involve digital filing systems and physical documentation as needed
- Assist in scheduling and coordinating meetings, both internal and external, related to the Instant Payment Project
- Prepare meeting agendas, distribute materials, and record meeting minutes as necessary
- Ensure that follow-up actions are tracked and completed
- Serve as a point of contact for communication between the project, stakeholders, and external parties. Manage email correspondence, phone calls, and other forms of communication to ensure efficient and timely responses
- Provide logistical support for project-related matters, such as payments of services rendered to the project, workshops, conferences, or training sessions
- Arrange travel and accommodations for team members when necessary
- Manage expense reports and budgets related to these activities
- Prepare various memorandum and submissions regarding budgets, payments and procurement in line with the Bank’s policies and procedures
- Any other duties as directed by the supervisor
Requisites
- Relevant bachelor's degree in IT, Computer Science, Office Administration, Paralegal, Business Administration and/or Accounting or any other relevant degree
- Experience in the implementation of large-scale projects and programmes
- Understanding of corporate governance, compliance, and business and organizational development
- Strong organizational, communication, and interpersonal skills
- Technology savviness and innovation inclined
- Strong administrative skills and process skills with a strong ability to follow up and follow through (advanced), including effective time management, organizing and record-keeping skills
- Digital literacy
- Excellent Communication skills, both written and verbal, including minute-taking and report writing
- Proficient numerical and budget development and management skills
- Ability to work under pressure and exercise proactiveness and resilience
- Handling of sensitive information with discretion and maintaining confidentiality
