GIPF is recruiting a Personal Assistant to the CEO, to be based in Windhoek, Namibia.
Description
  • To provide professional and comprehensive technical, administrative, and advisory support to the Chief Executive Officer
Duties
  • To interpret and advice on key business indices and report on strategic and operational progress regarding matters arising at the Executive
  • Committee and relevant business community interfaces to the Chief Executive Officer
  • Coordinate Exco and other Management Committee meetings including the responsibility of minutes taking
  • Assist the Chief Executive Officer in managing and administering the implementation of the Funds strategic and operational activities through the various fund structures, committees and processes
  • Collect data in conjunction with the Strategic and Projects Unit related to strategic and operational matters that the CEO may require to have insight to assist him in preparing or making informed decisions
  • Facilitate effective communication between the CEO and all Stakeholders as requested
  • Manage the diary of the CEO by receiving internal and external meeting request and advising the CEO on the priority audience and necessity of the meeting
  • Provide administration services to the office of the CEO in terms of presentations, refreshment arrangements, retrieval of information, arrangements of meetings, preparing of documentation for meetings
  • Record Management, travel arrangements, and query and customer liaison
  • Compile the annual budget for the office of the CEO
  • Schedule own work carefully and monitor against set targets of efficiencies
Requisites
  • Bachelor’s degree in Business Administration or Management (NQA Level 7)
  • Three (3) to five (5) years’ experience in Corporate and Executive Management support environment
  • Basic understanding of the Pension Fund and Investments Industry will be an added advantage
  • The incumbent should have the following knowledge, skills and Attributes:
  • Knowledge of:
  • Financial and pension funds industry, organizational culture and structure, stakeholder and board, secretarial disciplines, document design, diary management, basic financial management and events management
  • Skills:
  • Analytical, communication, coordinating, customer interaction, decision making, excellent command of English language, feedback and record keeping, interpersonal, prioritizing and time management, minutes taking, organizing and planning
  • Attributes:
  • Accuracy, approachable, detail conscious, calm disposition, absolute confidentiality, customer service, diligent & proactive, emotionally mature, flexible, handling pressure, integrity, team players, methodical and presentable
