Puma Energy is recruiting an Operations Controller (m/f), to be based in Walvis Bay, Namibia.
Duties
Health Safety and Environment (HSE)
- Assist Operations Manager with the implementation of HSSE Management system
- Record and Report unsafe practices/conditions in the office and when visiting depots
- Conduct safety observations & Participate in Safety Meetings
Inventory Control and Management
- Conduct daily Stock review and balancing for Downstream
- Ensure depots conduct daily stock processing and reconciling
- Coordinate daily Physical inventory processing on TMS and CBS for Downstream depots
- Review, Monitor and scrutinize product Loss/Gain movements daily for Infra and Downstream Depots
- Monitor and Control physical Movements and documentation for Other Oil Companies (OOC)
- Monitor and Control physical Movements and documentation for all Bonded Warehouses
- Balance and sign off overall Monthly Stock-Register for all depots
- Assist with the Co-coordinating of supply to Hangana and Seawork and other Consignment Depots
- Ensure Depot produce Daily Physical inventory data for Dashboard reporting and that they submit Dashboard reports to Stock accountant on a daily basis
- Compile monthly Throughput, Loss-Gain and Stock-KPI reports for Downstream and submit to Operations Manager
- Analyze Outbound and Inbound variations and compile statistical report to Operations Manager
- Scrutinize Oil loss report for the all depots
- Perform Overall Month-end Close-off for Stocks for all facilities
- Ensure that all deadlines with regard to month-ends are met including participating oil companies transactions
Business Control and Operational Excellency
- Compile and agree weekly Storage and Handling volume for recoveries and that this is submitted to Finance for accounting
- Review OPEX transactions to help Operations Manager track depot costs
- Implement and ensure Downstream depots maintain a sound Filing System for the all Stock and HSE transactions and documentation
- Conduct regular Review of the physical inventory item journals that are processed on NAVISION to ensure accuracy
- Review Stock Audit report from internal auditing team and coordinate feedback and review with the depots
- Sign-off Hosting (S&H) invoices for third part depots
- Ensure PBI output matches with TMS
- Assist Operations Manager on the KPI analysis as per PBI
- Ensure Vessel declarations are done on time and submit relevant documents and reports to Agents for this declaration. All documents to be submitted within 7 days after vessel discharge
- Perform other administrative activities to support the Operations Manager as directed
- Conduct periodic internal control checks on TMS and E-Puma to ensure compliance with Puma Physical inventory standards
- Be the Custodian of the outbound seals and keep register for both incoming and outgoing seals
Other Administrative Support Functions
- Be one of the Operations Super user for TMS and E-Puma where you will Monitor and pro-actively engage IT Department/TMS whenever System problems are experienced
- Support the Operations Manager in building a culture of operational excellence within the Operations team by providing coaching and mentoring of individual team members
- Assist Operations Manager with Ad-hoc on-the-job training for staff on subjects relating to your role
Requisites
- The incumbent must meet the following basic requirements of the position:
- Sound knowledge of stock accounting process and system
- Be able to communicate at all levels internally and externally
- Capable of time management
- Must be able to plan and organize
- Able to work independently and with minimum Supervision
- Must actively take part in HSSE management activities
- Must have knowledge of business principles
- Computer skills is essential
- Must be able to cope under pressure
- Grade 12
- University Diploma or Degree preferably in Logistics, Business, Marketing or Accounting
- Experience:
- Possess a sound knowledge and on the job experience in Depot operation
- At least 3 year of experience in similar position preferably in Stocks management. Ability to work independently and with diverse teams
- Experience in Oil Industry is preferable
- Skills:
- Ability to generate and interpret stock reports
- Interpersonal skill and ability to lead others is preferred
- Computer Skills, especially Word/Excel/ PowerPoint
- Customer-centric
- Language: English
- Good command of English both written and spoken is required
- Competencies:
- Knowledge of Stock control process is crucial
- Understanding of Transport system is preferred
- Ability to lead others is an advantage
- Understanding of HSSE system
- Knowledge of Depot Operations
