O&L NeXentury Green Infrastructure Solutions Namibia is recruiting an Office Manager (m/f), to be based in Windhoek, Namibia.
Description
- The purpose of this position is to provide administrative support management on general office functions and coordinate and support project administration for the business unit
Duties
- Provide administrative support to the office such as office administration and meeting scheduling
- Arrange flights, travel, and accommodation itineraries for MD
- Type and submit tender documents according to the required format
- Manage inventory of office supplies, ordering additional supplies ensuring that costs are appropriately managed
- Ensure efficient communication within the Namibian Team and with the O&L Nexentury Teams in South Africa, Germany etc.
- Prepare all Board packs and other relevant meeting packs for the MD
- Develop and maintain project documentation including drawings, specifications, meeting minutes, payments, requests for quotes, vendor submittals, comments, reviews and approvals and any other project documentation
- Engage with logistics/shipping providers (incl following up of shipments, clearing instructions etc.)
- Assist the Financial Manager with the annual Budgeting by collecting and providing information as needed
Raise Payment Requisitions on SAP
- Assist the accountants with the maintenance of various financial databases and reports
- Performs secretarial and general office duties (telephone calls, filing of confidential correspondence, typing et cetera)
- Assist with any other administrative, social, coordinating or reporting duties as and when required
Requisites
- Diploma in Business Administration, or a related field, with 4 years’ experience in Business Administration
- Degree in Business Administration with 2 years’ experience in a Business Administration environment will be advantageous
- Administration experience in an Engineering /Technical environment/Project Administration experience
