DBN is recruiting an Executive Secretary To The CEO, to be based in Windhoek, Namibia.
Description
- The role is responsible for overseeing the administrative and secretarial functions of the CEO’s office
- Ensures that all interactions involving the CEO, internal stakeholders (board, management, and staff) or external parties (business/financial community, government, and development bodies)—are effectively initiated, coordinated, and resolved

Duties
- Manage the diary of the CEO and ensure that meeting times and dates are confirmed effectively
- Support the office of the CEO with the preparation and circulation of correspondence, internal memoranda, presentations and reports
- Ensure accurate records, taking and keeping of minutes at meetings where the CEO is in attendance and assists with follow-up of resolutions and with the implementation thereof
- Coordinate meetings between the various units in the office of the CEO and external parties
- Set up and maintain up-to-date filing system and file all relevant data and correspondences
- Responsible for the ordering and maintaining of stationery and office equipment for the office of the CEO
- Organize the travel and accommodation arrangements for the CEO both nationally and internationally
- Coordinate the participation of the CEO in external corporate events in liaison with Marketing and Corporate Affairs
- Provide support with the preparation of quarterly DBN Reports to the Ministry of Finance
Requisites
- Education, Experience and Skills:
- A Grade 12 certificate, with a National Diploma in Office Administration/Business Administration or equivalent (NQF level 6, from an NQA recognized tertiary institution)
- At least 5 – 10 years’ experience in an administration environment or relevant experience in office management
- Proficient in Microsoft (Outlook, Word, excel and PowerPoint) advance writing skills and excellent office management
- Good verbal and written communication skills
- Good customer orientation/focus
- Interpersonal sensitivity and ability to work in teams
- Ability to handle sensitive information
- Good planning and organizing skills with an attention to detail
