RFA is recruiting an Executive Secretary, to be based in Windhoek, Namibia.
Description
- Responsible for providing secretarial, clerical, and administrative support to the Chief Executive Officer (CEO) in order to ensure that services are provided in a practical, timely, and efficient manner

Duties
- Provide administrative support services to the CEO:
- Manage all correspondence (incoming and outgoing) deal directly with the standard ones and ensure an effective flow of information
- Minute takings at all EXCO and Management Meetings and meetings between the CEO, Management, and business community leaders when required
- Provide office administration services:
- Administer the office in terms of presentation, refreshments/tea/coffee arrangements, retrieval of information, arrangements for meetings, preparing documents for meetings, etc
- Attend relevant meetings as well as other ad hoc meetings
- Provide diary management services to the Chief Executive Officer:
- Maintain the diary of the CEO
- Provide record-keeping services:
- Maintain a proper and up-to-date filling system for the CEO’s office
- Maintain a contact details list of key stakeholders, Board, service providers, etc
- Make travel, events, and functions management:
- Make all travel and accommodation arrangements for the CEO and Board
- Arrange meetings, functions, and events as required by the CEO and coordinate all aspects
- Provide budget preparation and budget control services:
- Compile annual budget for the office in consultation with the CEO
- Maintain the budget of the office through control to curb under or over-expenses
Requisites
- Qualification Requirements:
- A Diploma in secretarial studies or a relevant field (NQF Level 6).
- A Bachelor’s Degree in Administration/Office Management would be an advantage.
- Experience and special knowledge requirements:
- A minimum of 5 years working experience with at least 3 years at a secretarial level of servicing management at a senior level
