Bokomo is recruiting a Clerk: Admin, to be based in Windhoek, Namibia.
Description
  • Reporting to the Assistant Manager: Admin Warehouse, the Clerk: Admin will be required to provide vital administrative support to warehouse operations, ensuring smooth coordination between various processes and aiding in the management of logistics and invoicing
  • (3 Months Contract)
Duties
  • Invoice and Shipment Management
  • Track and trace CHEP pallets dispatched and returned to site
  • Reconcile the CHEP account daily and ensure proper documentation
  • Validate incoming shipment documents, including the Proof of Delivery (POD) and Goods Receipt Vouchers (GRVs)
  • Process and verify picking slips, ensuring accuracy and completeness
  • Record and reconcile invoices with corresponding picking slips
  • Process, print, and review invoices for outbound deliveries and ensure they match with picking slips
  • Claims and Credit Notes
  • Process claims for damaged goods and returns, including first-grade claims and rework
  • Generate credit notes for returned damaged goods or claims against drivers
  • Manage the filing and archiving of all relevant shipping documents, including PODs
  • General Administrative Support
  • Assist with the processing of upliftment documents for claims pick-up
  • Support the Warehouse Controller by relieving them of administrative duties to improve warehouse floor flexibility
  • Maintain accurate and organized filing systems for ease of retrieval
  • Perform data capturing duties during periodic inventory counts
  • Ensure the upkeep of the warehouse admin area in accordance with health, safety, and hygiene regulations
  • Collaboration and Reporting
  • Work closely with other departments (Sales Operations, Planning, and Distribution) to ensure high service levels
  • Report discrepancies and issues to the appropriate teams to resolve quickly
Requisites
  • Grade 12 or equivalent
  • At least two years of experience in a warehouse or logistics environment
  • Previous experience with SAP and Microsoft Office is essential
  • Experience in invoicing and shipment management is an advantage
